I have a word document (a letter with a few embedded pics)
that is about 1 mb. I have copied everthing in the letter
(ctrl a, ctrl c) and pasted (ctr v) it into a new document
to get rid of extraneous meta info that word may have
added. It hasnt been reviewed or had versions created, I
even used an unscrubber to remove hidden met info.

The issue is this. If i copy the letter and pics as
above and insert them directly into my outlook email (by
pasting them) , the email is about 280kb. Why is my word
document so big (~ 4 times the size)???

Win xp, office xp pro

Tahnk you

There's no simple answer, but some of the factors are:

a) A Word document contains a lot of information into addition to the basic
content: style definitions, page setup information, internal pointers for
dealing with headers and footers and graphics, etc.

b) The document file is a fairly complex structure comprising a number of
distinct elements. At least some elements get 'fleshed out' to some minimum
size within the file.

c) Word is *very* inefficient in its handling of graphics: they appear to be
stored internally as metafiles. This is a good format if you need to work
with the graphic (which Word has to support) but at the cost of file size.
The same pics when inserted in your email are usually handled as JPGs, which
is a much more space-efficient format.

Thank you

Since Suzanne Barnhill has not answered this post (as of
this writing), I will offer a sugestion she has made in
other posts. With the document open, click File >
Properties. Click the Summary tab and be sure the check
box for Save Preview Picture is clear. You can also right
click the document icon and select Properties to
accomplish the same thing.

Ah, if you want the full boilerplate, here it is (not original to me--mostly
pirated):

There are a number of reasons for excessive file size, including:

1. Fast Saves: Disable this at on the Save tab of Tools | Options.

2. Preview Picture: Clear the check box on the Summary tab of File |
Properties.

3. Versions (File | Versions): Make sure "Automatically save version on
close" is not turned on.

4. Revisions (Tools | Track Changes):
Highlight Changes: Make sure "Highlight changes on screen" is turned on.
Accept/Reject Changes: If "Accept All" or "Reject All" is available then
revisions are present; accept or reject all changes, then turn Track Changes
off.

5. Embedded True Type fonts (Tools | Options | Save); embedding fonts should
be avoided wherever possible.

6. Embedded graphics: When feasible, it is preferable to link the graphics.

7. Document corruption: See
http://www.mvps.org/word/FAQs/AppErrors/CorruptDoc.htm.

I've experienced this problem with various users and
discovered that if you use Insert | Picture | From file,
instead of copy/paste it usually makes the file size much
smaller.

I don't know what causes this problem, but this work
around has fixed this issue each time.

Oh yeah, that other stuff too
