How do i create a rule that would forward the mails that a specific user send into a specific folder. At the same time i want this rule to work on all the other workstations in the company. Help needed asap

Create a profile that has that mailbox set as the default profiel (Outlook
Today). Then create a server based rule (it's marked on this machine only if
it is not the case) by using Wizard Rules. Create a new rule (not based on a
template) and follow the onscreen steps.

What if i want the rule to apply to all users logging into their respective accounts on all workstations. in other words i only need to set the rule once and it applys to all users logging into their respective workstations. Currently i create the rule

Apply this rule after message arrives
from alex
move it to alex folder

the rule i wanted was that whatever mails send out by a certain group of ppl will have a copy move to alex folder
however the rule i created was client only and i cant apply this rule to the require group of users

You can't "deploy" a rule. Once the rule is set per client and it is a
serverbased rule it is no problem to what client they logon to.

The problem that it is a client only rule can be because the resource needed
to proces the rule isn't available when Outlook if shutdown. This can be
because of the address resides in a pab or pst-file or because of the
message needs to be moved to a pst-file.

As long as the address is in the Global Address List it shouldn't be a
problem. If the address is in your Contacts folder and needs to move the
message to another mailbox/public folder it is a client only rule.

Isn't public folder accessible to all users? how come the rule is considered as client rule

No, the administrator can set permissions on those folders as well.
Where is the Contact located you are trying to add?

the public folder is set up in the exchange and is accessible to everyone automatically after they set up the microsoft exchange server mailbox in their outlook

That is correct. But on all those folders you can set permissions as well.
Initially you do this in Exchange Admin but from there you can delegate it
as well so it can be done from within Microsoft Office Outlook
