Updating a document while some else has it opened

I sent a link to a word document to several people to
update. In the past only one person at a time could
enter their data. Today someone tried to open it and it
showed he was currently using it and could therefore only
open it as read only. He could not see where he had it
opened and even exited Word to be sure. It continued to
show he was using it. I called our Help Desk and they
showed several people had it open. I found out later
that at this same time one of the ones listed as having
it open was able to add comments and when the other
person was disconnected it asked if he would like to
merge his data. Is this a new function and if so, what
did we do wrong? Thanks so much for your help!

The user that couldn't open it other than Read Only almost certainly has
abandoned temp files filling up his temp folder. A TEMP folder should be -
as the name suggests - a folder for holding temp files. When all
applications are closed, the folder should be empty. So reboot the PC and
navigate to the temp folder - usually Documents & Settings/ Username/ Local
Settings/ Temp. Delete everything that you find.

The second 'problem' was a new function for XP.
