use paste special but point size is still too small, ending up pasting it as
a picture and ungrouped which made it very messy to edit. Smallest point size
used was 5.

Try to display the whole spreadsheet in Excel on your screen. Stand up and
go backward two steps. Can you read it? If not, it will be too small in
PowerPoint, too. Your screen size does not change, independent of the
program you use. And even if you use a projector to project it on a large
screen, the resolution will not change, only the pixels will be larger.

The only way is to present the essentials (or parts of the spreadsheet) on
screen and distribute the whole large table to your participants in print.

Best regards,
Ute

What causes it to be illegible?
How will you use the PPT presentation? Printed, projected or ???

The fundamental problem may be that the basic page size in PPT is around 10"
wide.

Reducing an A3 page to that means that everything will be reduced by a factor of
1.6 or so.

If you're projecting this, you need much larger type than you'd be able to get
by with on even an A4 or smaller printout.

In other words, physics, reality and all that nasty stuff may be interfering
with your ability to pull this off. ;-)
