Text search of open document

Our office has 6 individuals processing incoming mail. As
part of their duties, the individuals must maintain a word
file with a running list of information concerning
correspondence including names, issues involved in the
correspondence and to whom the matter will be assigned for
action. All individuals save to a single shared folder
and all having full access to each other's files on that
shared folder. The individuals save their file after the
input of each entry, but do not close the file. We
recently discovered that Windows Explorer (or the Win2k
version of the old explorer) does not report a text match
in the saved, but still open file. Example -- employee A
has a running file named "Correspondence Employee A" and
adds an entry concerning John Smith. Employee A then
resaves the file, but does not close the file. Employee B
receives correspondence regarding John Smith later in the
day and tries to do a search in Explorer using "Containing
Text" for John Smith in the various correspondence
files . No matches are reported even though there is an
open file that does have a text match. Given the amount
of correspondence we receive in a day, it is not feasible
to close the file and reopen only when needed. Any
ideas/workarounds on how to get the text search to report
that the file "Correspondene Employee A" contains an Entry
for John Smith? Any thoughts would be appreciated.
 
Unfortunately, opened files are locked by OS and cannot access by other
applications. There is a possible way to work around this, set your
application to make a backup copy of the file while you are working on it.
So search function will be open up this backup file and other people will
get to know where the file is located.
