Style's Question

Ok ... I know there's an answer, but I can't find it.

The styles for documents on this pc are adding up and I
want it to stop. I.e., Everytime a style changes, it get
added to the style pulldown menu. Where do I turn that
off. I simply cannot find it and I know it's easy to
fix ... I must be blind today. Please and thanks.

These are not styles, just "formatting." They're supposed to caution you not
to add direct formatting to styles, but if you have perfectly good reasons
for doing so, clear the check box for "Keep track of formatting" on the Edit
tab of Tools | Options.

Suzanne, thanks for the response.
"Keep track of formatting" isn't an option under Tools |
options | Edit. Maybe that's why I was so surprised that I
couldn't find it. (Word 2000)

Ah, that was introduced in Word 2002. So now I'm puzzled; I don't know what
you're seeing. You should be seeing the "Styles in use." If any are actually
*not* in use, you can go to Format | Style, select "Styles in use," and
delete the ones you're not using. FWIW, in Word 2002 and 2003, you can
select exactly which styles you want Word to display in the Styles dropdown.

You know Suzanne, I think you are totally right.
I have 2003 (had 2002) at home and that's why I remembered that there had to
be a way to turn it off. I think the problem at work, is that people are
creating wierd styles and ... get this. They aren't even using styles (well
.... not in the usual sense of the word). They use normal and everything has
direct formating. Talk about insanity. I'm from the school of ... DO NOT
do any direct formatting (unless it's unavoidable ... which, every now and
again happens). Hence ... all para numbering is manual, at all levels. I
can't convince them to do otherwise. Now, to be fair, part of the reason is
because so many people, internal and external contribute content for the
documents, so, all continuity is lost and the number of styles can be
staggering. I even tried to convince them to simply try to copy/paste
special/unformatted, so that styles could be used for speed and consistency,
but I can't seem to reach them. It's almost like having to do everything on
a typewriter!!
Anyway ... had to get that off my chest ... I feel better now. Thanks for
listening!

That's why we are here for to listen and help people.

You are totally right, if possible always use styles for consistency. That's
what I advise people. Unfortunately most of them do not follow that advise.
I always tell them that they are working twice as hard (and that's an
understatement) for the same result. That gets them thinking, sometimes.
On the other hand Styles are a not one of the easiest features to use,
especially if you do not apply them correctly.
So, Diana keep up the good work and try to convince them, all missionary
work is difficult make no mistake about that.

I think your best option is to let them do their editing their own way
(direct formatting) and then when you need to finally compile the document,
remove all the direct formatting (SelectAll, then Ctrl+Q, Ctrl+spacebar and
also see http://word.mvps.org/faqs/numbering/RemoveManualNumbers.htm). Now
run through the document and apply the correct styles.
