sharing free/busy information on intranet

Hi,

I've managed to figure out the free/busy information sharing on our file
server, using Outlook2000 and NOT using an Exchange server... now the only
problem we're having is trying to see if older versions of outlook can do
the same - outlook97 (I think) is what someone else has and that version of
Outlook has some options for publishing free/busy information, but I can't
specify the location (as I could with Outlook2000) and I can't find any .vfb
files on that person's computer or on the server (other than the few of us
with Outlook2K).

Can older versions of Outlook share free / busy information without MS
Exchange? Or do we need to wait until everyone is upgraded to Outlook2K or
better (which may take a while)?

No. Internet free/busy was first introduced in Outlook 2000, IIRC.

Not what I wanted to hear, but we'll just have to wait until everyone's
upgraded.

I've got a question (for once we're upgraded) about scheduling resources.

Assuming we're not upgrading to an MSExchange server, but only upgrading
everyone's Outlook to 2k or 2k3

The way I understand it, we set up a mailbox for each of our
rooms/equipment that are assignable resources and have a computer that has
an outlook pop email account (same way each person is set up) and we can set
the account to automatically process meeting requests.

Can we set up 1 computer to handle all the resources (or to reword that, can
1 copy of outlook handle 3 email accounts and relate them to 3 different
calendars, 1 for each of 2 boardrooms and 1 for a projector?) so that each
room can be booked independently?

Can we set up user permissions for who can edit / assign that boardroom, or
would it be a matter of whoever has control of that computer with the
resource's email account on it?

In Exchange, yes (and in fact, such "delegates" are no longer necessary even in Exchange). Without Exchange, no. Each user can can only accept meetings for themselves.

In other words, resource booking requires Exchange.

But if we set up an email account for each resource, then that email account
would act as a user. And there are settings to automatically process &
accept / decline meetings. So then as long as we have enough computers that
are unassigned to a person user (so we can assign it to a resource "user"
email address) we can set up resource bookings that way?

I was just hoping that by setting outlook to check 3 email addresses that it
would be able to assign the requests sent to each address into the
corresponding calendar.

Thanks anyways. I guess our only option is to try and convince our IT
department that keeping up with technology really is a good thing... :)

You would need a machine running Outlook for each resource all the time. Not very practical.
