Thank you for your response. All works ok except the Display As question.
In my Address Book I have entries Display As in three different format.
One Names only, one email address only. and third one Names and email
address in brackets. I face the same problem when I enter a new contact
details. I also import addresses from Access tables. On technical grounds
which is the best option?
Please answer also which is the best choice to export/import to an
external program. Access or Excel.

You can only change the Email Display As field manually. There is hardly
ever a need to.
To send to a Category, use the By Category view of Contacts, select a
Category > Actions > New Message to Contact.
