When I click on send and receive botton oin outllok - all the emails in
server are downloaded to local and THE MAILS ARE DELETED FROM THE SERVER. I
would prefer NOT to delete emails from the server....any one suggest what
setting I need to configure ?

You don't state your Outlook version, so this is for OL 2002/2003.

Click Tools>E-mail Accounts>Next. Select your account. Click Change, then
More Settings. Select the Advanced tab. Check the box labeled "Leave a
copy of messages on the server".
 
This problem will not happen if you using HTTP type email account like
Hotmail or MSN, so you are using POP3 email account.
The configuration is easy, go to "Tools"->>"Email Accounts"-->> "View or
change existing e-mail accounts ", press the "Other settings" button,
navigate to the Advanced tab, in "Delivery" area you can choose whether
retain or not the backup in your pop3 server.
Please also be noted that some Pop3 servers also offer options for
downloading emails, like Gmail.

Sharpening and Brain...but my problem is not resolved....

I am not using POP3 account...its showing type as "Exchange(Default)" .. Its
my office account and I have acces to both "Outlook Web Access" and from
outlook exchange. When I download emails to outlook exchnage....I can't them
in OWA ? And same time I don't find the option to choose "leave a copy of
my message in advance tab"...any alternatives or guess ??

'Control Panel|Mail|E-mail accounts|View or change existing e-mail
accounts', Change the "Deliver new e-mail to the following location" box to
show your mailbox (Mailbox - Your User Name) instead of Personal Folders.
