Repeating entries in Business History

Have just noticed that I have identical copies of many of my entries within
the Business History of Business Contact Manager. Many items are repeated up
to 3x and some of them are for messages that have been deleted. Result is
that I have 9,148 items in this file. How can I stop this from occurring and
(probably even harder) how can I remove the duplicates?

Items linked to the account or business contacts linked to the account will
show up for each instance of a link. For instance, if you have 3 business
contacts linked to an account and you have a task that is linked to all 3
then it will show up 3 times under the account; 4 times if it is also linked
to the account. This is because history is rolled up to the account from all
things linked to it.

Francisco,

In additon to what Guy has stated, another thing to remember is that whenever
you delete an email that is linked to either a Business Contact or an Account,
BCM does an automatic re-write of the text of the email onto a file called a
Busniness Activity Record which then stores the email message directly into
the BCM db eventhough it no longer exists in your Outlook pst mail folder.
To get rid of these email activity records, just highlight them and delete.
One thing I do at the end of each day is just a quick manual review and clean
up any business history records that I don't want to accumulate in the folder.
An example is if I sent an email with a Cc or Bc and don't need a redundant
history of that linked to that Business Contact, etc. It's easy to keep the
business history folder trimmed down but you just have to pay regular
attention or it can grow very quickly.

Thanks for your thoughtful replies, Guy and Tim.

Just want to add one thing that I discovered about this issue, in case that
someone else runs accross the same configuration error:

While playing around with the application I did a righ click on the BCM
Deleted items folder (the trash icon) and discovered that within the
Properties tab I had set the selection to "Show number of unread items", once
I selected "Show total number of items" I discovered that I had not dumped my
trash for a very long time and that things had accumulated. There was so
much junk in there that it actually took the computer a couple of minutes to
get rid of it.

This is a simple configuration parameter to overlook but one that can have
an important impact on disk space if not discovered.

See ya!
