can someone please assist me on how to prevent this from happening again?

Don't send in RTF, as it is not supported in other mail clients. Send your
mail in plain text or html.

You are using Outlook's default Email format of Rich text and your recipient
isn't using Outlook. (That's the usual explanation of this)
Change your Email format (Tools-Options-Mail format tab) to either HTML or
Plain text and see if that helps.
