Want to save email activities in contacts folder and be able to access old
emails even after I have emptied the sent and deleted folders

Let me make sure I understand your question. You think Outlook should be
able to retain links to items that no longer exist? Maybe you could clarify
your question. I'm not following the logic here.

Russ
I am limited to the size of my outlook mail box at work so I have to delete
all emails from my "SENT" and "DELETED" folders monthly. When I do this I am
no longer able to view the emails which previously resided in these folders,
by clicking the "ACTIVITIES" tab in Outlooks Contact folder. If I archived
on a regular basis and then deleted the contents of the "SENT" and "DELETED"
folders, would I then be able to access the deleted emails through the
"Activities" tab in Outlook or is there another way I can retain these emails
forever as they are from clients and previous communication is critical with
them for regulation purposes.?
Thank you for trying to help

You would want to archive them to another folder, not delete them.
