Outlook 2003 Rules and the Outlook Address Book

Outlook 2003 from Office 2003 Pro

When I build the Rule :
Sender is in Outlook Address Book address book

Notice that "Outlook Address Book" is the highest level of the address book.
Will that in include ALL the contacts in all the sub folders, or just the
Contacts folder ?

I ask because it seems to not see addresses that are in sub folders other
than Contacts.

it only works on one folder. Why are you using more than one? You should use
categories to separate contacts.

Thank you Diane. As you demonstrate, it was not necessary to be a mind
reader !

Your question is well taken. I think you've identified a hole in my
knowledge on the use of Outlook. I had created subfolders in My Contacts as
a way of separating contacts into categories. I never broached the subject
of "Categories" in Outlook.

I'll have to do some studying here to figure out how I'm going to get the
contents of all these folders under My Contacts back in to the base Contacts
folder but each in their unique category, which had been represented by the
folder name.

Maybe it won't be so hard. But as you understand what I'm doing, if you see
a tip worth passing along, feel free to !

Why are you using more than one? You should use
categories to separate contacts.

That should read: You have the option of using categories or separate
address books. Why force categories on users?

I am having the same problem. I am not using more than one Contacts
folder. I have my personal Contacts folder AND my company's global
address book. I think most people who use Outlook at work will have the
same problem.

I would like to build a rule that says: Delete messages except where
sender is in one of "Contacts", "Global Address Book" address book.

It doesn't look like this is possible because I just see a place to put
one address book. Is it possible, or are we just hoping that we can do this?

I think its only ONE folder.
It's a weird limitation. You should be able to list the folders (address
books), or be able to specify Outlook Address Book as the highest level to
mean ALL folders.

Anybody got a different take on this ?

What I have done to get around this limitation is I set the rule up and then
duplicate it - once for each Contacts folder I wish to include.
