Outlook 2003 Curiosity

Bilbo

A friend called me to look at his Outlook 2003 problem. He was
getting messages saying his inbox was full.

I used Data File Management to look at his files and found that his
primary OUTLOOK.PST was the old-style (Office 97) and limited to 2 GB.
Of course, the file was pushing really hard at the 2 GB limit.

I don't understand why the old-style .PST format was used but I'd like
to convert him to the newer format that goes up to 16 GB. I know
there are lots of down-sides to the old-style .PST including problems
with AutoArchive.

I know I can EXPORT his current .PST to a new-style one but I'm not
sure how to safely replace his old one with the Exported one.

I COULD move the old one to some other directory, rename the
BACKUP.PST to OUTLOOK.PST, and go to the MAIL Profile via Control
Panel to remove the old one and add the new one in its place, etc.

Trouble is, I'm not sure if I can do this "safely" -- meaning, in a
lossless way.

Does anyone have experience with such things? Will my procedure work
or is there a cleaner way? I'm trying to be REALLY careful.

All learned suggestions appreciated.

An inplace upgrade does not touch the Outlook.pst format.

To create a new .pst file:

File->new->Outlook Data File->type - Personal Folders. Do not use the
97-2002 format.

Open the new .pst file in the Outlook Navigation bar and drag and drop items
from the old to the new. For the calendar, display the old in categories
view, select all and move to the new calendar FOLDER.

I don't know if there WAS an inplace upgrade but there may have been.
I trust that after following your method, the old .PST can be removed
from the profile and deleted? You didn't mention Contacts. Is there
anything special there?

presumed you had an inplace upgrade.

Hi Milly,

I did as you suggested and then I removed the old .PST file from the
profile and set the new .PST file as the email target. Everything
APPEARED to be OK.

However, I don't think mail is being delivered to the INBOX in the new
..PST file. In fact, I don't know WHERE it's going.

I'd appreciate a little help here.

A default clean install of Outlook 2003 uses unicode format. Therefore, I
presumed you had an inplace upgrade.

Hi Milly,

I think I've figured it out. When I replaced the Default Personal
Folder, I didn't go to Tools|Options|Other|Advanced Options|
and navigate to the new INBOX as the folder to open. I think
that should fix the thing.

The mail WAS being delivered but the INBOX folder wasn't
being opened at start-up.
