I have just upgraded from 2000 to 2002. When sending an
email the and clicking on the "To:" button I am having a
problem. When pressing the button it displays a list of
the contacts with email addresses and also fax numbers.
In Outlook 2000 it would show the contact name and the
email address or business fax number next to the name. In
2002 it is showing only the contact name. So I do not
know if I am inserting an email address or a fax number.
Does anyone know how to eliminate the fax numbers from
being displayed in the "to:" field or how to change the
display to at least show whether it is an email or fax?

Mike

Outlook shows both the fax numbers (where present) as well as the email
address when addressing an email. I understand that this was so you could
send a message via either transport depending upon your contact. Therefore
if you have multiple fax numbers or emails then the contact will appear
multiple times when addressing emails.

However, if you do not use fax on your system, then having the fax address
displayed becomes a nuisance. Both because it displays an entry in the
addressing dialogue window for each fax number configured as well as the
email address, and when you expect Outlook to resolve the name
automatically it does not know which of the addresses for that contact you
wish to use - showing the squiggly red line.

It is possible to suppress the fax entry in the address dialogue by
prefixing the Fax Number for the contact with a non-numerical character or
string e.g. Fax: 01234 345 678.

If you have a number of entries to manage in this way, then you may wish to
consider an add-in that will automate the task and allow you to select such
as that found at
http://www.websetters.co.uk/WSAddIns/Fax Display Manager/Index.htm

It resolves these issues by managing your contacts, hiding the fax entry
when addressing emails but still showing the details in the contacts folder.

That takes care of the fax numbers. How about multiple email addresses? Is
there a way I can tell which email address is connected to which entry in
the To: button list?

I'd like to get that list to display the 'Email Display As' name instead of
the 'File As' name

Outlook 2002, BTW

Hey! There _is_ more than one column in that list! Can I either change the
size of the 'Select Name' dialog box so that there is more than one column
of useful space or permanently change the column spacing or order so that
Display Name shows first? I tried right clicking the column headers to get
one of the field chooser/column format type boxes, but no go. And, if I
just shrink the name box to nothing, it resets next time I click the To:
button.

Thanks for your help,

Mike

No. All you can do is use the horizontal scroll bar to distinguish one
address from another.
