Only show names with email address

Chris

Hi,

Is there way to get Outlook to only show names with email
addresses when typing them into the To box? E.g.

I type in the name "Harris" in the To box and hit "Check
Names" and it brings up the three Harris that I have in
my Contacts yet only one of them has an email address, so
that's the one I want to send it to but I have to
manually select it.

The standard behavior for the Outlook Address book is to display all
electronic addresses (both fax and e-mail). That behavior cannot be changed.
The only way to prevent the display of fax numbers is to store them in a
different field or to disguise them (e.g., precede them with an alpha
character) so that Outlook won't recognize them as phone numbers.
There are also a number of utilities available that can do this for you
automatically. Some are listed here:

Thanks - the problem is that it lists people who don't
even have a fax number, e.g. I have a Contact with only
their birthday stored in the entry and it still displays
this in the list....

That would be truly inexplicable in current versions. Are you sure they
don't have some other electronic address like a pager or mobile phone?

Then you've left something out. Such Contacts will not show up in your
Outlook Address Book unless you did an in place upgrade from an old IMO
version of Outlook or are using an old IMO version.

friend's had a baby last week and the only thing in there
is the date of birth yet the name still pops up. Just
created an entry then with only a name in it and it still
pops it up.

Nope what? What is this "version of the software that I have?"
Post your Outlook version and mail support mode. You are using Internet Mail
Only mode or you are one of a kind. --

Apologies for the lack of information. Outlook 2000 SP-3
(9.0.0.6627) Internet mail only. I apply all of the
Microsoft updates etc. when they come out.

Of course it does. That's what I said before. You are not using the Outlook
Address Book. The old IMO mode uses the Windows Address Book so all Contacts
will show up.

Right. IMO was a stripped down version of Outlook that didn't support all of
Outlook's features and was intended only for simple pop3 transports. It may
still be the best for your needs, but you can switch to the Corp/Workgroup
version which uses the Outlook Address Book. For information on choosing a
support version or changing to the other support version, look here:
