Hello,
I have been asked to create some way to disseminate information throughout
our organisation that will automatically alert people to various events -
people leaving, having a baby, Lunch being moved to a different time, etc.

This should be a simple solution that will not take long to implement or
need too much training.

We used Outlook 2003 over Windows Server 2003, and I think we should be able
to use the Public Folders/Calendar option for this. The relevant people
should be able to post an event in this area, which will then automatically
alert everyone when they open Outlook.

For example, an alert should be able to tell people today that they will
need to park in the College in 2 days time, with a reminder alert tomorrow,
and on the day in question. It should be simple to use, as there is not a
great level of computer literacy throughout the organisation

Does anyone agree that Public Folder/Calendar is the best way to go, or have
another solution?

The problems I see with Public Folders in the situation you describe are
twofold: first, your people will have to open the public calendar and
actually look at it. This is not a trivial thing to have happen. Second,
there won't be any "notification", in that they won't get a message telling
them there's been a change or addition and they'd better look. Any
notification like that would have to be either manual or produced by an
add-in your program or buy. Other than that, I think public folder
calendars are very useful. The department in which I work uses one so we
can all keep track of each others schedules. Every morning, as well, a
program scans that calendar and emails us a list of who will be out of the
office for the day.
 
Is there anyway to accomplish a similar task with Office 2007 Enterprise? We
don't have a server. The Groove calendar tool to which other can add will
not send out reminders. Is it possible to publish an Outlook calendar online
that other people can add to?

Is there any way that someone else can add an even to a calendar that is
already published online?
