I have mail merged from outlook and all looked fine till I realised that the
contacts with first names and different surnames for the same contact. Say
partners not married and they both have different surnames that it only
picked up the first name and the last surname. Can this be overcome in a
mail merge?

Not by the time you get to the mail merge stage. You must anticipate your
merge needs and then create Outlook fields accordingly that will accommodate
that need. How did you accommodate different Surnames when you created a
single Contact record for two people with different Surnames?
