name badge (non-sticky) label printing - any suggestions?

Hi,

We have a need to be able to print out name badges for a recruitment
conference. Many name badges will be printed in advance as many
pre-register, but a good proportion will also turn up on the day and need
their name badges printed then and there.

We do not want to use sticky label products as these are fiddly. We have
clear name badges with safteypins in them, that name card name badges can be
slid into.

We are looking for a good solution to this scenario which allows us to
quickly and easily enter names and print the badges. Ideally some
appropriate paper that is not sticker based allows us to take out cards that
can be inserted quickly into the name badge holders.

Are there any solutions, software or hardware that will make this easy.

Avery make the name badges in sheets and you can download the software
from their site, or you can download templates from them for Office.

We found that avery tend to make sticky labels. In this case we want cards.

With software, design a framed outline box to a size that will fit in
your clear holder. Print the name, "Mr. Bean" or whoever, centered
inside the framed box. Trim away the black frame cutaway guide lines
either with scissors or cutter and insert in holder. I haven't done this
for name badges but I have done it with related objects that required
correct sizing and were of the one of a kind name nature.

For paper you can use inexpensive card stock - a few dollars for several
hundred sheets.

They make card name badges in three different sizes on letter sized
stock. They are available at any decent office supply store. Avery's
site has full listings of them with sizes, type of stock, etc.
You want me to find them, buy them and print them for you?

OK, but I do not seem to be able to find the same product on the UK website.
The closest thing I can find is:

but the quality of the UK website is not as good as the US it seems to me. I
cannot get a clear description for certain about this product and even the
image link is broken. I tried the US part number in the UK site and there
are no results.

Please check for yourself in case I am doing something really stupid.

More input welcome as we might need this quicker then getting the product
shipped from the US.

Business card size? Lots of ways to print these.

The problem with using any of the Avery sheets is that you can't easily
print one at a time.

The way I used to do it use by printing up a number of blank name tags.
(I'm assuming that the tag has some graphics and text special for the
conference)

Get one of the mini label printers http://tinyurl.com/jajrx that will print
a label what ever size you need to fit the text that you need for the
attendee (name, company, etc.)

Use clear labels and the software that comes with the label printer. Under
the plastic shield, its almost invisible.

Type, print, stick repeat
 
This kind of task is so simple that I can't believe it's even being
discussed. Any DTP program will allow you to make any layout desired. If the
user doesn't have a copy of Microsoft Publisher or similar software and
doesn't want to invest in an application for single use, they can get a
highly acclaimed DTP application called PagePlus for free from
www.freeserifsoftware.com It won't be their latest version, but it's more
than adequate for getting the job done.
 
Its not the layout that's the problem, any word processor can do the layout.

Its being able to print one or two at a time at a registration desk with a
line of people waiting to checkin. You can't tell people to wait around
untill you get 10 name tags batched up.

The Avery templates for Word allow this as does a number of pieces of
shareware that I've used over the years. You click on File, Print, to
get to those options instead of clicking on the printer icon.

That's my whole point about using any DTP application. You could have the
cards precut into 2up or 4up strips which could be used instead of full
sheets. You can even use single cards. Example: my Canon iP4000 will print
single cards as small as 2 1/4 x 3 1/2 with no problem. The solution to this
problem is as simple as getting inexpensive card stock and precutting it
yourself if you can't buy what you want. With a little bit of thought, this
is a no brainer.

been able to find the correct Avery sheets (non sticky labels for putting
into clear plastic badges) in the UK for this. And the ability to be able to
return the same sheet through but print to the unused label is important. As
well as being able to do this quickly by an operator who is not particularly
super computer literate,

but right now the conference has been delayed thus taking off the pressure
for now, but I will continue to look into this and appreciate all the
commetns.

If there is a killer solution for this scenario that is also good value,
then great.

Consider using one of the specialty label printers such as Dymo or Seiko.
Print on sticky back labels, then stick them to pre-cut card stock for
badges.

If I understand correctly you have plastic name badges and you are
printing a name that slides inside. If so, why does this have to be on
a card? Could you not just print a name on a piece of paper and then
cut it out?

Or without using a computer and printer at all I've been at things where
we have just had it written by hand with a marker on a sticker.

It was the speed aspect that made cutting hard. The operation needed to be
easy so in a conference with people arriving, name badges can be quickly
created for new delegates and there could have been quite a few people
coming through the door.

I would go with a previous poster's suggestion to get card stock (if
you want high resolution stock, Staples Double-Sided Photo Matte paper
is nice quality, and a decent price, about $10 for 50 sheets), cut it
to the specific size needed, then print one by one on a printer that
can handle custom paper sizes that small. I know Epsons will, and most
Canons as long as you use the top feed and not the little paper
cartridge.

If you're doing borderless, then you might have problems. Maybe use 4
x 6 stock to print 2 or 3 badges on, aligned against two sides so you
don't have to cut as much as if you were using a full 8.5 x 11 sheet.
