Moving Personal Folders File

Does anyone know how to move Personal Folders File contents to a backup medium and not retain these contents in the user's mailbox? We are trying to both minimize the size of mailboxes and still give the user the opportunity to retreive contents from the Personal Folders File when needed. Thanks!
 
I think archiving might do it for you. I have another post asking a question
regarding a similar topic.

Auto-archiving does exactly that for you. It will create a new .pst file
and label it as an Archive. Then, based on your preferences, the
auto-archive utility will periodically move all old messages from the
delivery .pst file or exchange mailbox to the Archive folder. It will even
replicate any folder structure that you have created.

To enable auto-archive and choose the settings, just click on Tools,
Options, Other, Auto Archive button. Choose your settings and then apply.

*NOTE: Auto-archive doesn't necessary look at the e-mail date when
deciding to archive the item. It looks at the _modified date_ of the item.
This means that if the user opens or views an e-mail that is 10 days old,
then the modified date gets reset to today. If you have the archive action
set for 10 days, that item will not be archived until 10 days from today
(unless it's opened or viewed again, which again resets the modified date)
even though it was received 10 days ago.

I'm already aware of that, the question is how to identify the several
archive folders that have been archived by year. I renamed each archive
folder in its properties, but the name doesn't stay, so I end up with 4
folders named archive folders in the folders list.
 
You should be able to rename any .pst file as well as the display name.

What I do is rename the actual .pst file and make the display name the same
as the filename. For example, I have an archived .pst file named 2003.pst
for all of my items that occured in 2003, so I also changed the display
name in my folder list by right-clicking on the Archive Folders, then
Properties, then Advanced button, then re-typing the name to match the
filename. Hope this helps....

Bob, if the PST file is being used as an active archive file, Outlook
automatically resets the display name to Archive Folders.
