Membership List - One mailing label for family

I have a membership database which holds names and
addresses of members. Those members who belong to the
same family are recorded in the database as separate
entries and allocated an individual membership number.

I want to generate mailing labels for each family
addressed as Mr & Mrs X YYYYYYY and not two labels
addressed as Mr X YYYYYYY and another addressed as Mrs P
YYYYYY.

Has anybody got any ideas how this might be accomplished
using ACCESS 2002 ?

Any help would be much appreciated

I'm not entirely clear from your description whether Mr. X and Mrs P
(YYYYYY) are entered as two individuals, each with his/her own membership
number, or if (all) those members of the same family are allocated a
(single) membership number.

You haven't indicated where you are storing the address for your members.
If you are storing it in the individual/membership row, how can you be
certain that the "same" address is entered the same way for Mr. and Mrs.?

For example, I can easily imagine two folks with the same address having it
recorded as:

Mr. X @ 12345 Elm Street
Mrs. P @ 12345 Elm St

If this has happened, YOU might be able to call these the same, but Access
won't "match" these strings.
 
Sorry I was not clear about the record structure.

Two typical records for a family would be:

Title Firstname Lastname Address
Mr John Smith 7 Acacia Avenue
Mrs Pauline Smith 7 Acacia Avenue

I wish to produce a label that reads:

Mr & Mrs J Smith
7 Acacia Avenue

That answers the first part of my response, but doesn't cover the second.

How certain are you that two folks at the same address have an exactly, 100%
identical address?

Unless you have some other table that associates persons together (to
indicate household or family), you only have your address fields to match
on. If you can't guarantee that "Avenue" was used every time, and never
"Ave", you won't find all matches.
