Clients - Windows XP w/ Outlook (office) 2000.

We are trying to learng how to use the meeting requests
more efficiently. I've seen this done but not sure how to
do it.

Basically, a client goes into his own calendar and creates
an entry at a certain time. Then goes into meeting
attendee availability tab. Then the client adds the name
of a conference room to the list of recipients on the left
side. After that, the conference room appears and you can
see in the timeline to the right all the times available
and when it is booked. You can also book it so others
will see that it is booked for a new time.

Just need a little puch in the right direction here, not a
book. Thanks!

Sue,

Our "conference room" is set up in the public folder as a calendar.
How can you view the free/busy time of the "conference room" when it is set
up as a public folder?

I am trying to allow direct booking. Following the directions on this site :
http://www.slipstick.com/calendar/skedresource.htm

it states:
"To set up a resource calendar folder for direct booking, create an Exchange
mailbox for the resource, then use Outlook 2000 or later to log directly
into the resource mailbox and set the Resource Scheduling options in Tools |
Options | Calendar Options."

It seems I'm missing something. How/where should the "resource" be set up? I
can not get logged into the "resource" conference room.
Is there a link to creating a resource that deals with the how and where to
do this?

Thanks

For full functionality, including free/busy, resources should be set up as individual mailboxes, as the page you cited explains. Create a mailbox for the resource, just as you'd create one for a new user.

So if I'm following you correctly, I need to stop the mail enabled public
folders that I need to set up as resources (getting email account already
exists if I don't). Create a "user" for each resource I want users to direct
schedule. Log in as that user and set up the calendar as stated on the
website.

Since my users have been scheduling the resource directly in the public
folder we have a bunch of appointments in the Conference Room public folder
that need to be moved into the calendar for the account "Conference Room". I
can export them to a .pst then import them back once logged on as the
"resource".

Once all this is done I assume the public folders for these resources will
NOT be updated when a user schedules the resource, only the calendar for the
resource account. That calendar can only be viewed when logged in as the
resource or when you invite the resource?

I could actually delete the "resource" in the public folder and train my
users how to invite the resource (user account) when they want to reserve
time. Would you suggest this?

Thank you for your time Sue.

That's it exactly!

For direct booking, users need Author permission on the folder, so they will be able to open the folder and see any appointments that are there. You can drag the appointments from the public folder there; no need to export/import. After you have it all set up and the appointments moved, delete the public folder to avoid confusion.

Users should be trained to invite the resource as a Resource attendee; otherwise, direct booking will not take place.
