Mailmerge using he or she

I am not very experienced with Access, but have managed to set up a simple
patient database for a cancer unit. When a new patient is registered and
their details and GP details are entered on to the database, I would like to
be able to generate a standard letter to the GP advising them that the
patient has registered with the unit. One of the fields in the database is
gender and I would like the letter to use he or she as appropriate.

Could somebody talk me through the steps I need to take in simple language.
The database contains tables, queries, forms and reports.

Many thanks, it's now working beautifully. I have however thrown up a couple
more problems which are related, but will post them separately.
