Can anyone, in layman's terms, tell me what steps I need to take to do
mail merge (name, address, city, state, and zip code)with a genera
database onto mailing labels? Thank you. -Zen
 
If your goal is to simply print addresses on mailing labels, then you can use the Label
Wizard that is built into Access. If not, then post back with additional information.


Follow these steps to create mailing labels in Access:

1. Open the appropriate database, and select the Reports object in the database window.

2. Click the New button that is displayed just below the blue title bar that displays the
name of your database.

3. Select Label Wizard from the bottom of the list.

4. Choose the appropriate table or query that serves as the recordsource (see my previous
post to you for a definition of this term)

5. Click OK. The next screen allows you to make several selections, including label
manufacturer, product number, English or metric units, etc. You'll probably want to select
the units of measure, label type and manufacturer first in order to filter the list.
Select the appropriate choices. Click OK.

6. Pick your desired font characteristics and click OK.

7. Add the appropriate fields from your recordsource, by selecting each field and
clicking on the arrow button (or double-clicking the field). Use the Enter key to start a
new line. Use your spacebar to insert spaces in-between fields as needed. Add commas as
needed (for example, after a City field but before a State field). Click OK.

8. Apply a sort order for your labels. You can sort by LastName and FirstName, for
example. For bulk mailing, you'll probably want to sort by postal code first, since this
will enable you to group envelopes by postal code. The post office likes it when you do
that. I think they even offer a discount for doing so. Click OK.

9. Give your new report a descriptive name, such as rptMailingLabels
(The rpt prefix and no spaces in the report's name is your early introduction to using
naming conventions).
