How can I clear the drop down list in the Find a Contact
field in Outlook 2003.

Liz said:Thank you for your help, followed the instructions
successfully. This was required because when users enter
a first and surname in the Find a Contact field i.e. John
Smith and that person is found in their Outlook contacts,
the next time they do a search on just Smith it will only
produce John Smith, even though they have 10 Smiths in
thier Global Address List. Is there any other way round
this?
Also have you noticed that in the Calendars section when
a user i.e. secretary with maybe four or five calendars
listed under other Calendars puts a tick to show another
calendar it doesn't display it, but when the tick is
removed then it displays the calendar?! This has happend
to a number of people during a roll-out I am currently
ivolved with. Closing Outlook and going back in sorts it
until the next time. Any explainations? It is very
intermittent.
Thanks again for your help.

It shouldn't be necessary to clear your MRU list just to find a Contact.
I've seen other users post this problem since migrating to Outlook 2003
while searching the GAL. Is your sort order for the Outlook Address Book set
correctly? Can you search a local folder successfully?
You'll want to post your Calendar question in the Calendar group. I don't
use Outlook's Calendar.

Hi Russ,
The answer to both of your questions is Yes. As long as
a user doesn't put a full name in for someone who happens
to be in their Outlook address book only, then it will
all work fine.

My understanding is that if you type in a surname in the
contact find field outlook first searches GAL if it finds
names that match your search criteria it doesn't then go
on to look in your OAB (assuming you have set both up in
the address book options). Based on this when I run a
search for Smith it finds all the Smiths in my GAL and
produces a list for me to choose from. However if I now
go to OAB and enter a new contact called John Smith and
later run a search for John Smith it produces that
contact card on screen, which is correct. But later I
run another search with just Smith hoping to get my list
from GAL it refuses to go there it will just keeps coming
up with John Smith even though I only asked for Smith and
would like to see my whole list of Smiths again.
Clearing the history works, but is not a procedure I
would want users to have to follow. Deleting John Smith
from contacts will also work, but a stupid way to deal
with it. Taking the tick out of Show this Folder as an e-
mail address book in contact properties will also work,
but again a silly solution. Either I am missing something
or there has got to be another way!

I'm not sure I even see what the problem is here, nor what's changed.
When you use Outlook's Find a Contact feature, it has always searched local
folders before the GAL, and it does not move on to other folders once a
match is found. That seems to be what you're describing, and that's the way
Outlook has always worked.

How can I clear the drop down list in the
Find a
Contact
field in Outlook 2003.
.
.
.
.
.
.
My question the first day was how to clear the history on
the find contact field. This is needed because the GAL I
am working with has not only the companies employees
listed but also imports from CRM. Therefore making GAL
the number one email address list. However users also
want to keep their own personal addresses in the contacts
folder, but once they enter a name in OAB that may be
similar to one in GAL they can no longer see the GAL
entries when they run a search. I therefore can see no
point to running this search if it can only give half the
information required. Also why can it not use the
options set in the address book "When sending mail check
names using these address lists in the following order:"

I'm not sure I even see what the problem is here, nor what's changed.
When you use Outlook's Find a Contact feature, it has always searched local
folders before the GAL, and it does not move on to other folders once a
match is found. That seems to be what you're describing, and that's the way
Outlook has always worked.

No it doesn't go back when Outlook is restarted. The
sort orders are different, GAL is in first name order and
Contacts is in last name order. Don't have time to do a
check at the moment to see if that is causing the problem
but will do so tomorrow and let you know what happens.

to reproduce this.
Just curious: what happens if you restart Outlook? Will
it go back to
searching the GAL first?
From your original description, I thought this was a
problem with the sort
order. But your last description suggests that is not
the case. Do the sort
orders for the GAL and OAB differ?

What is the order in which you've configured Check
Names

Address Book?

[MVP-Outlook]
My understanding is that if you type in a surname in
the
contact find field outlook first searches GAL if it
finds
names that match your search criteria it doesn't
then
go
on to look in your OAB (assuming you have set both
up
in
the address book options). Based on this when I
run a
search for Smith it finds all the Smiths in my GAL
and
produces a list for me to choose from. However if I
now
go to OAB and enter a new contact called John Smith
and
later run a search for John Smith it produces that
contact card on screen, which is correct. But
later I
run another search with just Smith hoping to get my
list
from GAL it refuses to go there it will just keeps
coming
up with John Smith even though I only asked for
Smith
and
would like to see my whole list of Smiths again.
Clearing the history works, but is not a procedure I
would want users to have to follow. Deleting John
Smith
from contacts will also work, but a stupid way to
deal
with it. Taking the tick out of Show this Folder as
an e-
mail address book in contact properties will also
work,
but again a silly solution. Either I am missing
something
or there has got to be another way!

Liz

Could you elaborate a little please so I can
understand?
How can a Contact
be _only_ in the Outlook Address Book? The OAB can
only
display an
underlying Contact Folder or Exchange GAL.
Which searches work and which don't?

You'll want to post your Calendar question in
