File summary information goes away

I have a user that is copying email messages from Outlook
2003 into Windows Explorer for archive purposes. He then
adds information including sender, topic, category, etc
in the summary tab of the file's properties. The options
added to the files are set to viewable in explorer and
are visible to the user. The problem is after about 4 or
more continuous hours of use of his machie, the summary
information is no longer there. Any ideas???

After editing under the Values column in the file's Summary, you must
click Apply first then OK, to set and SAVE the
settings. If you just click OK,
it will reset without the edited info.
.

Thanks for the input, but the information is saved that
way. I guess I forgot to mention when the properties
info goes away it is restored after a reboot, but that is
the only way to get it back.

<SNIP> I guess I forgot to mention when the properties info goes away it is

First...I am not a file system expert so you may want to post this question (and
include more details about the data storage scheme, etc.) in the newsgroup:
microsoft.public.windows.file_system

If you read the newsgroups using the Microsoft Communities Web Page, here is a link:
http://communities2.microsoft.com/c...px?query=microsoft.public.windows.file_system

If you read newsgroups using a NNTP newsreader, such as Outlook Express, and
use the msnews.microsoft.com news server, here is a link:
news://msnews.microsoft.com/microsoft.public.windows.file_system

That being said, I can only find one Microsoft Knowledge Base Article describing a
problem with the Windows XP Shell Column Handler reading the contents of the file to
obtain extended attribute information. Causes and symptoms include information that
you did not describe (network folder, "access denied" message, etc.) so it is
doubtful that it is applicable. However perhaps it will give you some pointers so
here is a link to it:

KB328170 - Program Opens a File As Read-Only or Returns a Sharing Violation or
"Access Denied" Message When Opening from or Saving to a Network Folder
http://support.microsoft.com/default.aspx?Product=winxp&scid=kb;en-us;328170

The problem described in KB328170 occurs because Explorer and some other application
are accessing the file at the same time. To rule this cause out you could try
temporarily stopping all programs that perform time-intensive disk scans (such as
antivirus software and the Indexing Service). If antivirus software is involved,
instead of stopping it completely, you may be able to configure it to exclude the
directory that stores the messages.

And while I cannot find any documentation that specifically states that
inconsistencies between the metadata on a volume and the transaction logs can cause
this problem, since the "properties info goes away it is restored after a reboot"
(when the transaction logs are flushed), perhaps running chkdsk (which can clean up
these inconsistencies) would solve the problem. Note: If desired you can run
chkdsk.exe without parameters (run it in read-only mode) to display the status of the
disk only (report only, chkdsk does not fix any problems), to see if it reports in
inconsistencies. For more information see the following Microsoft Knowledge Base
article:

KB314835 - An Explanation of the New /C and /I Switches That Are
Available to Use with Chkdsk.exe

For more information about "NTFS File Attributes" [summary information is an
attribute that is stored as a part of the NTFS file system metadata that is
associated with the file] and "Master File Table and Metadata Files" [summary
information is stored in one or more alternate named data streams that are part of
the files' MFT record], see those topics in following Windows XP Resource Kit
Chapter, Section: NTFS File System (access them using the TOC treeview pane):

Windows XP Professional Resource Kit Documentation | Part II Desktop Management |

For more information about: "Multiple Data Streams" [Summary information is stored in
one or more alternate named data streams], see that topic in the same Resource Kit
Chapter, Section titled: Features Available on NTFS Volumes.

And for more information about "Recovering Data with NTFS" [when the file summary
information is changed the metadata is stored in a transaction log that is flushed to
disk: in a lazy fashion and when the computer is turned off or rebooted], see that
topic in the same Resource Kit Chapter, Section titled: NTFS Recoverability.
