Fax service problem win2003

I have a Win2k3 server configured (using the wizard) as terminal server
and print server, no domain.
I installed the fax service and shared the fax printer: if I log as
Administrator i can send faxes, if I log as guest (or from XPpro clients)
i can't send faxes.
Logged as guest I see the share, opening the fax console i see in the
lower bar "all fax printers are inaccessible", double-clicking it (opens
"fax printer status") shows "connection error".

The fax is shared to everyone and guest.
Is it a policy problem?

Hi Andrea,

Thank you for posting!

According to my understanding, Guest account cannot use Fax Service by
default. Please go to Printers and Faxes folder. Right click the Fax icon,
choose Properties from the context menu.

In the Security tab and the Sharing tab, please make it sure that the Guest
account has the permission to use the Fax service.

Hi,
Guest account and everyone group have already permission to print on the
fax printer, allowing them to Manage Printers and/or Documents makes no
difference....

Hi Andrea,

Thank you for posting back!

As the problem is not caused by the permission, let us check the registry
keys.

1. Click Start, point to Run
2. Type REGEDIT and press Enter
3. Goto the key HKEY_LOCAL_MACHINE\SOFTWARE\Microsoft\Rpc\ClientProtocols
check for the string values listed. There should be at least:

"ncacn_np"="rpcrt4.dll"
"ncacn_ip_tcp"="rpcrt4.dll"
"ncadg_ip_udp"="rpcrt4.dll"
"ncacn_http"="rpcrt4.dll"

If these strings are not there have the customer, back up this key to the
desktop and then goto "Edit" at the top, "New", "String Value" and
create the needed strings. the name is in the first set of quotes above and
the value for the key is in the second set of quotes

After creatting the appropriate strings, close up the registry editor and
restart the computer.

After restarting open the fax console and they should now be able to view
the inbox faxes

I'm watching this thread very closely. I am having a similar problem.

I have a Win2k3 server that I use for print sharing, IIS and file server. I
just installed a USRobotics V92 fax modem.

Any computers on the network can print to the 2k3 server's shared inkjet
printer just fine. And, I can fax from the server itself just fine. But any
client over the network that I try to fax with (using the 2k3 server's shared
fax) returns an error message. The Send Fax Wizard appears, and when I click
"next" I get an alert box:

"Fax Server information cannot be retrieved. The Fax wizard will close now."

This happens on Win2k client machines, as well as XP client machines.

Any ideas?

I still believe it's a permission problem, but don't know where
(permissions on directories involved in the fax service?)

Another hint, when I try to send fax from a client the error message is
"Fax server information cannot be retrived. The fax wizard will close
now" and I find these two events in Event Viewer\System:

Thank you for the supplemental information!

Let us try the below steps to verify if it is related to permission

1. On the Fax server, in Compuer Management Console, disable Guest account
temporarily and then create a new user account, for example, user name is
Test, password is Password
2. In Security tab of Properties box of Microsoft Fax, make it sure that
the user Test has the permisson.
3. On the client computer, Type the UNC name to visit the Fax Server. It
may prompt you to input user name and password. Type the user name and
password we created in Step 1.

I wonder if the Fax can be used at this moment. If it still failed, can the
Fax Server Administrator account use the Fax Service from the client?

May I know how you send fax on the client? Do you use Terminal Servcie or
just use UNC name and print to the remote Fax server? Is there any error
message when use the fax service on the client machine? If so, please
describe the exact message.

Hi,

No I don't use terminal service.
I just type the UNC name, then I give user and password (only the first
time I connect) and the fax console opens. In the bottom bar I see "all
fax printers are inaccessible". Double cliking opens status window where
I see the fax printer wiht a red X and "connection error".
If I try to print i.e. from Word: the fax Wizard opens, cliking Next I
obtain an error message "Fax server information cannot be retrived. the
fax wizard will close now".
After this error in the event viewer of the server i find this two
entries:

Event Type: Information
Event Source: Print
Event Category: None
Event ID: 11
Date: 25/08/2004
Time: 11.39.58
User: CIMITERI\Test
Computer: CIMITERI
Description:
Document 2, Microsoft Word - Documento1 owned by Test was paused on Fax.

Hi Andrea,

For test propose, could you please create a new account named TEST on the
workstation with the same password as TEST on CIMITER? Log off and log on
TEST on the workstation. When you connect to the FAX with UNC name, you
should not be promoted for UserName and Password. Can you use remote FAX
service at this moment?

I've had this problem before as well, it is a problem with
the permissions on a folder that the fax que sends its
files to.

I have fixed it before, but cannot remember the name or
location of this folder.

Thank you for the supplemental information!

Let us try the below steps to verify if it is related to permission

1. On the Fax server, in Compuer Management Console, disable Guest account
temporarily and then create a new user account, for example, user name is
Test, password is Password
2. In Security tab of Properties box of Microsoft Fax, make it sure that
the user Test has the permisson.
3. On the client computer, Type the UNC name to visit the Fax Server. It
may prompt you to input user name and password. Type the user name and
password we created in Step 1.

I wonder if the Fax can be used at this moment. If it still failed, can the
Fax Server Administrator account use the Fax Service from the client?

This has worked for me in the past.

I know there is software written that can see the what
files are accessed and what the outcome of the file access
was at any given time. Start that software and then try
to send a fax. This file management software should log
the service trying to access the folder for the fax que.
Once you find that folder, then you can assign correct
permissions to it. I have this exact problem using
Terminal Server 2000. I just cannot remember the name of
the software that lets you do this. But I know that it is
a rights issue to the folder where the fax que sends its
files.

Run this before trying to fax. Then look at the log to
see what is happening.

Hi,
created the Test account on the client machine (winXp) same password as
on server:
1 - in the fax console I still have "all fax printers are inaccessible";
2 - if I print to the fax from notepad I have no more the error message
and the fax is sent.

Hi Feng, do you know what the nature of this problem is?
I noticed quite a few people reporting the same problem.
My setup is similar to Andrea's but I am trying to get
Domain Users to print to the fax server. I tried your
suggestion below and I still get "Fax server information
cannot be retrieved" when trying to fax via notepad.

Hi Andrea,

I understand that you have tried the below steps. However, accroding to my
research, lots of similar problems are solved by changing the registry key.
Please check this registry key on both the Fax server and the Fax client.

Based on my research, let us try the following troubleshooting steps:

WARNING: Using Registry Editor incorrectly can cause serious problems that
may require you to reinstall your operating system. Microsoft cannot
guarantee that problems resulting from the incorrect use of Registry Editor
can be solved. Use Registry Editor at your own risk.

For information about how to edit the registry, view the "Changing Keys and
Values" Help topic in Registry Editor (Regedit.exe) or the "Add and Delete
Information in the Registry" and "Edit Registry Data" Help topics in
Regedt32.exe. Note that you should back up the registry before you edit it.
If you are running Windows NT or Windows 2000, you should also update your
Emergency Repair Disk (ERD).

To resolve this issue, add the appropriate registry keys. To do this,
follow these steps:

1. Click Start, and then click Run.

2. In the Open box, type "regedit" (without the quotation marks), and then
click OK.

3. In the Registry Editor, browse to the following key:

HKEY_LOCAL_MACHINE\SOFTWARE\Microsoft\Rpc\ClientProtocols

4. Right-click ClientProtocols, point to New, and then click StringValue.

5. In the box that appears, type ncacn_np, and then press ENTER.

6. In the right pane, right-click ncacn_np, and then click Modify.

7. In the "Value data" box, type rpcrt4.dll, and then click OK.

8. Repeat steps 4 through 7 to add each of the following values and their
Value data.

- ncacn_ip_tcp = rpcrt4.dll

- ncadg_ip_udp = rpcrt4.dll

- ncacn_http = rpcrt4.dll

9. Restart your computer and check if the problem is resolved.

| created the Test account on the client machine (winXp) same password as

| 1 - in the fax console I still have "all fax printers are inaccessible";
| 2 - if I print to the fax from notepad I have no more the error message

Hi Sean,

Actually, such problem can be caused by different cause. For example, the
permission to access the remote resource, the permission to access the
system files. Even the mismatched version of some dll files can cause such
issues.

Regarding your "Fax server information cannot be retrieved", the
C:\windows\system32\spool\drivers\w32x86\3\fxsres.dll file was a mismatched
version with the other fxs*files. The clients were fixed by replacing this
file with the correct version.

Check the version of any of the fxs*.dll files in the following folder on a
working and non-working client.
C:\windows\system32\spool\drivers\w32x86\3 You can use Fxsui.dll as an
example.

Version 5.2.2581.0 is the Windows 2003 version.

Version 5.2.1776.x is the Windows XP version.

You may try the following to resolve the errors on the server:

1. Exported and deleted the following registry key:
[HKEY_LOCAL_MACHINE\SYSTEM\CurrentControlSet\Control\Print\Environments\Wind
ows NT x86\Drivers\Version-3\Microsoft Shared Fax Driver]

2. Reinstalled the fax client software from the following location:
\\mpserver\faxclients\msfaxcln.msi
<file://\\mpserver\faxclients\msfaxcln.msi>


Other possible causes for the error: "Fax server information cannot be
retrieved. The Fax wizard will close now."

- The Shared Fax service is not started.
- The Telephony service is not started.
- The Country code is not configured. (Control Panel | Regional Options)
- Make sure the Country/Region option in the dialing rules matches the
Country code above. (Control Panel | Phone and Modem Options | Dialing
Rules tab)
- Mismatched files
