Excel database

How do I create a database that will create a file for each name- and each
file contains 5 data entries - one of which must accept a paragraph of
commentary?

I'd like to make the database searchable by name and by each entry. And I
would like names to come up automatically if someone tries to input the same
name twice.

Why does your topic say "Excel databse" Are you trying to do this in Excel
or Access? This is an Access newsgroup.

You would need to give us an example of your data. I can't think of why you
would want multiple "files" when working with a database. Do you understand
tables, records, relationships, etc.?

Hi Rick- Thanks for your reply. I think you are correct- I should be in
Excel. I'll tell you what I am trying to do and take any suggestions you
have. I am trying to take piles of police incident reports and place them
into some type of data base so the DA can type a name and get file containing
the individual’s gang affiliation, moniker, police ID#, and each incident
report number, date and a paragraph description of the incident. I want to
give the office easy access to the information we already have but can not
access efficiently. Right now it is too stratified and disorganized.

You should use Access, not Excel
Is PoliceID# a number allocated if an individual has been convicted, or is
it merely an ID for an individual who has come to their attention?
 
Thanks. I have created 90% of what I need from Excel. The I.D.# is created by
the police to keep track of information.
 
Personally I would'nt use Excel, the type of data your using/info required
is what a db was designed to do.
eg most if not all accounting apps use a db - though it may not be obvious
 
if your goal is easy access to information for your users, recommend you use
Access. it's the perfect vehile for organization, combined with flexible
manipulation/presentation, of piles of data. a correctly designed and
well-built database will have your users thinking that they've died and gone
to data heaven!
