email linking to contact

I just recently read 12 posts from Jan 2005, but still have a
question/concern. I use the auto link and link emai history functions.
However, this seems to happen. If I set up a BCM contact AFTER I have sent
several emails to a contact, then link history, only incoming emails are
linked, not ones previously sent. After the contact is set up all NEW sent
emails are recorded in the history. Is this correct or can I make a change
somewhere and eliminate this issue. It is very time consuming going back to
link those sent emails.

Addtionally, when I do go and check a contact in outlook, set up after the
fact, the activities tab does include those same sent emails that do not show
up in the BCM history. Again, this only happens to those emails sent before
the BCM contact is set up - and trying to link the history after the fact.

Please let me answer your queries one at a time:-

Q1. After the contact is set up all NEW sent emails are recorded in the
history and not the existing ones. Is this correct?
A1. Yes, this is the correct functionality. Your emails will start getting
automatically associated only if the Business Contact exists in BCM. All your
mail correspondence previous to creating the business contact will NOT get
associated.

Q2. So, how to associate the previously sent (or received) emails to a
Business Contact?
A1. To get your previous emails in Business Contact Manager, you can run the
Email crawler as below:
- Go to Business Tools --> Link E-mail -->Link Existing E-mail. Select the
mail folders and follow the instructions.
This will associate all your previous mails to the Business Contacts.

Q3. Additionally, when I do go and check a contact in outlook, set up after
the fact, the activities tab does include those same sent emails that do not
show up in the BCM history
A3. Outlook contacts are NOT linked in any way to the Business Contacts in
BCM. Hence the Business Contact behavior will not be same either.

For some reason, this is not working for me i.e. when I "link existing
email" in my in-box, it does not show in the appropriate BCM contact or
account which were already set up. Any ideas?

Hi Ian,

The emails get linked based on the email addresses attached to your Contacts
and Accounts (it accounts for all the 3 email ids you can set). Also,it looks
at all the 4 fields in the email - to, cc, bcc and from. So, you may have to
check for the associations made based on all these parameters.

Very helpful, thanks. I was moaning because particular contacts emails were
not linking....then discovered they had changed their email addresses by 2
characters only!.....doh!...sorry I should have checked this.
