duplicates

WHY are duplicates created when I import from a .pst file after I have
selected 'DO NOT IMPORT DUPLICATES"?

Because, perhaps, they're not one-for-one duplicates with every field the
same. Outlook has no problem at all with having multiple entries with the
same name.

Never import a PST. You lose data. Just open it with File>Open>Outlook
Data File.
 
I have a PDA, a desktop (running XP pro & Outlook 2003) and a laptop (xp home
& Outlook 2003). I use each of these machines at different times throughout
the day. I make changes in Outlook on each one every day and I need to have
the changes copied to each of the other two at some point. the laptop is new
and I would like to import (or copy and paste as teh case may be) the new
information without creating dupes. I do not understand why this is such a
cumbersome chore. There must be some way to synch all three machines- or at
least the desktop and laptop) without having to delete duplicates each time.
The PDA synch causes email addresses to appear in the "display" section
beside the names every time.
Please help...
 
At the risk of intruding here

Could you please define what you consider a "duplicate"? (actually it's a
rethorical question)

Here is what Outlook considers a duplicate (taken from the O'2003 help
file)
"If you save a contact with the same name or e-mail name as one that already
exists in your Contacts folder, Microsoft Outlook will display a dialog box
that allows you to either add the new contact or update your existing
contact with the new information from the new contact."

The critical words in the above are "if you SAVE". Those words may mean
different things and be applied differently depending on how "exactly"
you're trying to do what you are doing. Anyone who has spent at least 10
minutes on import/export from a programmatic standpoint will quickly
understand that "all things are not created equal" when it comes to using
the Outlook object model which drives the core of all of this.

Under "normal circumstances" - agree with Brian - Outlook performs exactly
as advertised which leads me to question the exact process you're using to
accomplish the task. As an organization that specializes in moving contact
information into and out of Outlook/Exchange - we've also become accustomed
to "exceptions" or "gee - you mean I should have told you that too?"
scenarios. In short - you mention 3 machines (PDA/LapTop/Desktop),
duplicates, but very little else especially what software you're using for
the PDA cause that is not part of Outlook!!!!!!! (and no - am not trying to
sell anything at this point - just know reality). In short - something in
this description is missing from the equation. In this case - with all the
<weaknesses> (or whatever term you wish to use) Outlook has - it's not the
first place I'd be looking for as to the cause of the problem.

PDA uses "Actice Synch 3.8"
OUtlook 2003 with SP1 in both laptop and Desktop.

Well I sync two PCs using my PDA and I never get duplicates. PocketPC and
ActiveSync v3.8
 
Since I'm not familiar with how Active Sync works internally, will leave
this to those who are more familiar with that part of it (PDA's and syncing
are not something that we get involved with and leave that part up to other
3rd party software. From a generic standpoint tho - it's not Outlook that's
in control of data movement at the that point - it's the <sync> product).
