Delegate access on "out of office" laptop.

When using delegate access, where does the delegate gain access to the
Mailbox? (i.e. on the server, or on the local drive)?
IT advisor has told me we cant use delegate access because my boss takes her
laptop away with her - so I wont be able to access her Mailbox while its not
connected to the system? In a previous position, I could still accessed my
bosses Mailbox when his laptop was not in its docking station.

Any help very much appricated.

Your IT advisor is not quite correct. Mailboxes live on the Exchange server. Your boss might have data on the laptop that she has not yet synchronized with the server, but you will still be able to access the data that is already in the server mailbox.

Thank you for such a prompt response. That was very helpful.

Perhaps I could also get advice on another point.

My position is job share - with a shared email "admin@......" I personally
would prefer individual personalised emails, but its not company policy.
As we both share an email address, is there away that we can both view (and
action) the "Admin" inbox without actually both creating delegate access from
our separate Windows user profiles (we both have entirely different view
preferences).

What Im really asking is can separate user profiles be configured to open
the same Outlook Mailbox?

I'm not sure I understand your question, but more than one person can open a mailbox, both as the main mailbox in the profile and as a secondary mailbox added through the Advanced options in the Exchange account settings.

Sorry I didnt explain myself very well.

We both want the same mailbox to be our main mailbox, although we have
individual login to windows - we dont have separate email or calendars etc -
so there is no point us having individual mail boxes? I just thought that if
we could set it up this way, it would avoid a lot of duplication?

One final question? Can you rename a mail box without losing all the
contents? Our main mailbox is actually named after a previous employee and
we would love to change it to a generic title such as Front Office!

If you can point me in the right direction, it would be very helpful.

As I said earlier, you can certainly do that. The administrator can grant full access to the mailbox to both WIndows login accounts.

The admin should be able to change the name. (Think about employees who marry or divorce or go through other name changes.)
