Create a list of Caption titles

Hi,
Using W97, Win98SE. I have inserted several images into my long document and
have inserted a caption description. I would like to include a list with
page numbers in the beginning of my book.

I do not want the word Figure, etc. to begin each caption, just a number. I
have been doing this manually.

I cannot figure out how to have Word produce the list of captions. Can
anyone advise?

Hi Patti

Assuming that you have applied a style (such as the Caption style)
consistently to all captions, and used it exclusively for captions, then you
can create a table of contents that will only pick up your caption
paragraphs.

Insert > Index and Tables. On the Table of Contents tab, click Options.
Un-tick all the styles except the one you're interested in, and click OK,
OK.

If you've used Insert | Caption to create the captions, it's actually even
easier. Instead of choosing Table of Contents in the Insert | Reference |
Index and Tables dialog, choose Table of Figures, then select the
appropriate caption label. You can opt to omit the caption label and number
by clearing a check box. You can then add numbering to the TOC style used to
create the TOF.

Thanks again for help. Please see my reply to Shawna also.

I tried your steps, (I have used insert captions on all my illustrations) I
first typed a title "List of Illustrations using a TOC Style. Then chose
insert Table of Figures and selected label but what was printed was "Error!
No table of figures entries found."
I am stuck.

Hi Shauna,
Thanks for help. In my "book" I have created a TOC in it's own section. I
have used Styles throughout and my TOC is fine.

I have tried to follow both your and Suzanne's methods but having trouble.
I want a separate page after the TOC entitled "List of Illustrations"
followed by each caption, "1 - Jones, 2 - Smith followed by respective page
numbers.

When I type the title "List of Illustrations" using a Style included in
those chosen for my TOC and then try your suggestions it just does not work,
the TOC is then listed under the List of Illustrations. I seem stuck.

1. Type the title "List of Illustrations." If you want this list included in
the main TOC, then use a style that the TOC will pick up; otherwise not.
That is not really relevant to the creation of the list of illustrations.

2. In an empty paragraph after the title, do Insert | Reference | Index and
Tables, Table of Contents.

3. In the Table of Contents dialog, click the Options... button.

4. In the Table of Contents Options dialog, you'll see that Headings 1-3
have corresponding numbers beside them. Clear those boxes. Scroll down to
find the style you used for your illustration captions. Type 1 (or whatever
level you want to use) in that box and click OK.

5. If you've used a number higher than 3, make sure that the "Show levels"
box is set to that number. Click OK.

6. If you're asked whether you want to replace the existing TOC, say no.

This will give you a list of illustrations, but I think it is not what you
want, however, because it will include the label and number. Looking back at
your original post, I think you need to do what I suggested there. Select
the Table of Figures tab of the dialog instead. Select your caption label
and clear the check box for "Include label and number." (I'd suggest
clearing the box for hyperlinks as well.) The Table of Figures uses the
Table of Figures style, and you can apply numbering to that style as
desired.

"Phew" finally got it! Thanks so very much. Steps 1-6 worked as I had
manually deleted the number after caption and added number at the beginning,
i.e. 1 - Smith, etc.

Funny things happened, a few of the images were included in the List of
Illustrations but I seem to be able to just cut them. Also, the list does
not seem to pick up captions inserted into a Text Box??

No, Word cannot "see" text in text boxes. And the reason you sometimes get
images along with the captions is that the image has been inserted inside
the bookmark created by the TOC (or else you've got the image in the same
paragraph with the caption). To prevent this, be careful not to press Enter
at the beginning of a caption paragraph to get a new paragraph for the
graphic. Always press Enter at the end of the previous paragraph instead
(assuming it's not a caption).
