copy and paste

when I copy a spreadsheet from excel which has colors to a powerpoint slide
by doing a paste special and selecting picture, it does the paste in black
and white, not in color

While choosing "Edit" in Excel, hold down the Shift-key. "Copy" will change
to "Copy picture" then. When inserting this in PowerPoint (with "Paste
special", as usual), it will keep it's colors.

If you have the Print - Black and white box checked on
the File | Page Setup... menu option, this will occur.
When I unchecked the box and tried the paste
from Excel to PowerPoint, the Excel data pasted in
color, not in B/W.

As for Ute's tip, this must be one of those hidden features!
I mean, who would have ever thought that
holding down the SHIFT key while clicking
on a menu item would cause the menu items
to change? Amazing. Is this documented somewhere?
How are people supposed to find about about these
things? Anyway, great tip!

In Excel, click on File | Page Setup...
and click the Sheet tab.
Make sure the "Print balck and white" checkbox
is unchecked.
Now, try to copy the object to the
clipboard in Excel, and repaste it into PowerPoint.
How does it look?
 
I'm just thinking aloud here, but ISTR that there was something about
having your default printer set to black and white which can affect
this. Try setting your default printer to a color one (even if you don't
have a color printer installed, install some drivers for one and
temporarily set that to default).

Then again, I may be dreaming. :-)
 
Or... along those lines...
if you don't have a color printer but you DO have
Adobe Acrobat installed (not Adobe Reader,
but the full version of Acrobat), you could set
your default printer to PDFWriter and thus you
would have your color options set.

Ah, but I just saw your post about the "print B/W" setting in Excel.
That might do the same thing! Or maybe that's what I was thinking of in
the first place? (At least I know I wasn't totally dreaming, hehehe.)

To me, this sounds like a problem/limitation with how Excel is creating the
rendering for its OLE objects. Since the normal workarounds don't appear to
be working, try resorting to standard OLE/Interoperability troubleshooting
to find the source of the problem (PowerPoint or Excel).

One of the first steps for troubleshooting OLE objects is to isolate
whether the problem is in the container (in this case, PowerPoint) or in
the server (in this case <application>).

To isolate the problem:
1) First try a different container applications. I usually recommend
WordPad since it's the most generic OLE container and it ships with Windows.
a) Insert same object into WordPad
b) If applicable, perform same operation on object (if possible) that you
performed in other container (such as resizing object)
c) Does the problem occur in both containers? - If so, the problem might
be with the source application or just an OLE limitation

2) Try different source applications: Which ones I recommend would depend
on the problem. However, it is not always possible to find another source
application which provides a rendering of it's object in the same way so
you might not be able to definitively determine whether it's a container
application problem (because it occurs with multiple source applications).
a) Insert different source object into the same container application (in
this case, PowerPoint)
b) If applicable, perform the same operation on this object that you
performed on the other object (such as resizing object)
c) Does the problem occur with this object? If not, repeat steps 2a-2c
with additional source applications.

So:
* If the problem occurs with only 1 source and multiple containers -> Most
likely a problem or limitation with server application
* If the problem occurs with only 1 container and multiple sources -> Most
likely a problem or limitation with client application
* If the problem occurs with multiple container and multiple sources ->
Most likely a limitation of OLE technology
