Complete Email Addresses Not Printing in Memo Report

I am printing out contact information for a trip. I open
a contact and can see all the contact information.

So I simply do a "File" - "Print" - "Memo Style" and print.

Everything prints nicely EXCEPT the e-mail addresses for
he contact show up like "Joe Doe", instead of their real e-
mail address "(e-mail address removed)".

How can I change this behavior? It looks like it is
printing the "Display as" rather than the real e-mail
address.

Perhaps there is a different template or a change to this
print template?

Please help we are leaving at the end of the week and
thing would be difficult if I don't have these addresses.

Well I went ahead and paid the support fee to talk to
someone. After about an hour the resolution is that this
is the way it works. In outlook 2000 only the "Display
As" field is printed in any report. This is not always
the same as the actual "E-Mail Address" field so you must
insure all the data you want displayed is in that field.

In Outlook 2003 the reports print BOTH the "Display as"
and the "Email" fields.

This is a bother. If you export all the contacts they do
show both fields but printing from outlook does not.

If any one knows of some new print templates that might
fixt this that would be great.

Otherwise that is just the way it works.
 
You can try changing the Current View (under View) to
Phone List and then format what you want to see - change
the columns (Customize Current View) until you get the
info you want then print it out as a table instead of
contacts. Once you change the Phone List view, you'll
always have it available to view that way if you like.

You can click and drag the columns much like you would in
excel.
 
Final Disposition

Heidi, thanks for the suggestion. It almost worked nicely expect for the "notes" problem.

We keep extensive notes for a good number of these contacts. Like for this trip, we have directions, discussion notes, background information, etc.

So when we leave we print the contact information in "memo" format so that all the informaton in the notes area prints.

When we print in "list" mode there seems to be some builtin limit on the size of the field and so it does not all print. Doing the list would be great but not having access to the notes would not work.

What we are resigned to doing is reviewing the email address field in the contact form. We make sure that the the "display" part reads "First Last([email protected])" which is the default Outlook format for the display name. Then the printout will carry the email address and we have all the information we need.

This is not perfect but for now it gets the job done.

I hope in the future that Microsoft will improve the ability to create custom reports from the contact information. That would go a long way to making this problem go away for good.
