Hi,

I know how to set defaults for new filing of contacts,
but is there a way to automatically change any that I
copy into to my address books to save in the format I
want them to save (without individually changing each)?
Secondly is there a way to prevent Outlook from showing
the e-mail address after the name in the "Display As:"
field, or do I have to individually change each? This
second issue applies to new and existing contacts. I
have Outlook 2002 on Exchange 2000 and WXP.

Regards,

Jane

I don't understand what you mean. There is no address book in Outlook into
which you can "copy" Contacts. The address book is merely a view of your
Contacts Folder.

You have to change each Display As field manually. There is no global
setting that will change it.

I create new contact-based folders, which effectively
become address books, and these are viewed in the Address
Book (note the use of caps and non-caps). When I have
staff send me a member of one of their contacts, I want
to put it into one of my address books, but they don't
file it in the same manner I want (Company Name, Last,
First). On a case by case basis I can change the File As
field, but in cases of large copy overs, it is a pain to
have to change each individually.

In what format are these Contacts being sent to you? What do you mean by a
"large copy over?"

Hi,

These contacts are dragged from an address book belonging
to one of my staff, or copied and pasted from their
address book, into an address book in a public folder. I
want the filing format to be in the Company Name, Last,
First format. When I say "large copy over", I mean
copying a lot of the entries simultaneously. I'm needing
to to that now, because recently some address books went
missing, so I'm trying to get all the data back, but it
will be time consuming to individually change them to the
desired format.

The only way to change the File As field globally for existing Contacts is
to use code.
Take a look at this MS KB article, it may help:
