Can't figure how to remove time display on printed calendars

We use Outlooks Calendar for scheduling by date and use the times just as a
marker for how much time we'll spend on an individual job. Sometimes we
schedule two months in advance and just add the appointment to the day in the
order it is scheduled and then set the duration to say, two hours as the
estimate of how long we'll spend there. Later however, we share a copy of
our monthly schedules with our main contractors to give them an idea when
we'll be where. The times are just an estimation, and labeled as such, but
we've had problems with them being upset that we showed up earlier or later
than on the schedule. Entering the times is useful and I already have
hundreds of appointments entered with the times so I'm trying to figure out
how to print the monthly calendar without any times displayed. Just the
appointments on the date. I whited out the times before I faxed the
schedules off for the last batch but I'd like to find a solution that dosen't
require re-entering all my appointments or manually applying white out each
time. This has been frustrating because it seems like it should be such an
easy adjustment to make but I haven't made any progress accept to leave the
end times off. Thanks in advance for any help you can give me.

Well, KB, I gotta tell you that the problem is not with Outlooks Calendar -
it's with your main contractors, who get upset with you even when you tell
them the times are estimations!!! I don't really think there's any way to
set up Outlook so that it would print without dates. But if you are
determined to use Outlook instead of something like an Excel spreadsheet,
then here's a "slightly" more automated way of doing it than using a bottle
of white-out (not much, but a little).

NOTE: this will only work if you see the option of "Microsoft Office
Document Image Writer" in your drop-down box when you choose File, Print. I
believe that option only became available with Office 2003, but not positive
about that. Anyway, if you don't see it, you might as well stop reading now.
Also, it only works well in the Monthly view, which you said you were using.

1. Choose File Print
2. In Printer Name drop-down box, choose ""Microsoft Office Document Image
Writer"
3. Select OK
4. A "Save As" box will come up, so you can save the calendar as an Image
file.
5. The Image File will open
6. Chooose Tools, Send Text to Word
7. The file will go through an OCR process, and then be sent to Word, and
the Word document will open.
8. At this point, you can highlight and ERASE all the times (see, I told
you it wasn't MUCH better than white out!!).

But seriously, I would really suggest that you come up with an alternative
method of tracking your appointments, such as in an Excel spreadsheet, or
even in a Word document. Microsoft.com has a lot of sample templates that
you can download on their website at:
http://office.microsoft.com/en-us/templates/default.aspx

Good luck!!

create them as tasks? you can use a day/week/month view or drag them to your
own calendar to convert to appointments.
