Cant back up files - say they are being edited by another user

2 users (JGF and GVB) and guest set up. JGF works on files saved in his area (ie My Documents) that are not open anywhere else, saves work and closes down. Tries to back up files but they wont because message displays say file being edited by GVB. Not the case. If I look in File Properties it says document was last saved by GVB but this not the case.

Doesnt yet seem to happen the other way ie when GVB works on files.

Has anyone any idea what has happened please. By the way both GVB and JGF are administrators.

What method is being used to backup the files? Most backup applications
have the ability to backup files in use. You can close a file but sometimes
the application with which it is associated may still show the file in use.
It can be background or cleanup work by the system or something completely
unrelated. On the other hand, are you just copying the files to CD as you
backup method in which case it may be an issue of needing to install the CD
burning software in each user account.
 
What method are you using for backup. If they are on CD when you try to
work on them, copy them back to your hard drive and work on them there. You
may need to remove the read only attribute from the file when you copy it
back.
