Does Outlook have a feature that I can use to let people
know that I am out of the office and when I am coming back?

Please Advice.

Thank you.

If you are in an Exchange environment (ask your administrator if you do not
know) you can set the Out of the Office Assistant which is located under
Tools.

If you are not in an Exchange environment you can create a rule that replies
on all e-mails. The downside of this is that you'll have to have your
Outlook open all the time for the rules to process. Make sure you set some
exceptions (for instance based on the subject field so it will not reply on
subject with e.g. reply, failed, undeliverable, etc...) otherwhise you could
create endless mailloops between two mailservers and those can be a real
threat to the mailservers!

Keep in mind that it also replies to spam and potential burglars. Better is
to let it reply only to people who are in your address book.

Hope this helps!

I went to tools and click on Rules Wizard but I was unable
to follow the logic, would you be able to help?

Thanks,

Paola

Sure, where do you get stuck?

I forgot to mention that when you are not in Exchange environment and you
create a rule you'll need to have your Outlook open 24/7 so it will be able
to process rule.

OK: I go to Tools
Rules Wizard
New
Description: Apply this rule when message
And here is where I get lost.

Thank you for your help.

Alright. When you create a new rule make sure you start with a blank rule
and not with a template.

1) The rule should be applied when a message arrives
2) Conditions doesn't need to be set when you want to reply to all received
e-mails. If you want to only reply to certain people in your address book
(to exclude spam) set the condition to "from people or distribution list"
and specify their names
3) The action should be set to reply by using a specific template. (To
create a template create a new mail without using the "To" field but with
the message body you want to send as a reply and save it as an oft-file
instead of sending it)
4) Set the exceptions to specific words in the subject so you can exlude
replies to messages with a subject like reply, failed, undeliverable to
prevent enless mail loops

That should be it. If you get stuck again just reply to the post.

Ive got Outlook 2002 version, and to activate an automatic
message when Im away, I click on Tools in the top toolbar.
Go down to ''Out of Office assistant' and enter in the
message etc.
Hope this helps.

This is only available if you are connected to an Exchange server.
