address book ???

When I use the drop down address book icon for addressing
an envelope, many names are not in the address book. Even
when I add the new contact, save and close, I can't find
the address. It also fills in with (fax number) after the
name?? Also there are duplicates and duplicates, but I
don't see that in my address book.

What is the difference in my contact list and the address
book. They look the same.
 
How many Outlook Profiles and Contacts Folders do you have?
How are you sure you are opening the same Contacts Folder in Word that you
are in Outlook?
Was this a clean install of Office XP?

From a Word document,-->tools-->letters mailings--
envelopes-->address book icon-->contacts

From there I did a search for a name and did not find it.
From my contact folder in Outlook, I searched for the same
name and found it.

When I open the address book icon, a box shows up with
Outlook address book and a drop down box. With outlook
address book showing, the pane below says that there are
no entries in the address book. From the drop down box, I
choose contacts and have a listing of names.

I have over 200 up through the letter G in my contact list
from Outlook

The address book is merely a display of your Contacts Folder. They cannot
differ. For us to figure out why yours seem to, you'd need to post your
Outlook version (and mail support mode if earlier than Outlook 2002), and
how you are opening the Outlook Address Book. Also list how many Contacts
Folders you see in Outlook when you go to View > Folder List and expand the
tree.

I have two profiles: backup of outlook and outlook
No I am not sure--in Word it says address book, but I have
no items listed in address book in Outlook.
It was a clean install for a newer computer. When I got
the computer I imported my contacts list which I had
archived to our network.
Also, when I enter names, contacts/address book list the
first name as last, and the last as first. If I type in
John Smith it will file and print as John, Smith.

I'm not following the procedure you are using to try to access these
Contacts from Word. When you pull up the Address Book in Word (Insert
Address command), what do you see in the "Show Names From the:" dropdown?

contact folder; or choose to use the send button in
Outlook to access an existing address in the contacts
folder, these contacts cannot be found from Word or from

The Outlook Address Book should appear empty. It is simply the shell that
holds any Contacts Folder that you have enabled as e-mail address books. All
the data resides in those folders.
So are you saying you have 11 different Contacts Folders and they are not
appearing? Have you enabled them all as e-mail address books? (R click each
Folder > Properties > Outlook Address Book Tab).
