abbreviations

Hello,

I'm writing a report in which there is a particular phrase (5 words in
Spanish) which occurs several times in several sections, and I keep messing
up the spelling. I have started to use an abbreviation 'LRDSS' instead, with
the intention of using 'find & replace' later to convert LRDSS to the phrase
I want.

Is there any better way of doing it, in particular, is there a way of
automatically replacing the abbreviation with the full phrase as I type?

Use the AutoText feature. Activate the AutoText taskbar, select your Spanish
text, click on the new button in the taskbar. Now give a name to your
selected text, use minimum 4 characters (why not LRDSS) and hit OK.
Now every time you need the same text type in name you recorded and a yellow
screen tip will appear hit enter and there is your text.
You could also record a macro to do it for you. But see if my first
suggestion does the trick for you. If not, post back.

To add the Luc's excellent advice to use AutoText, the quick way to create
new AutoText is to select the text and then use Alt+F3, enter the shortcut
and press OK.

But note that AutoText will be saved in normal.dot by default. If you are
working on a network and want others to use your AutoText, then a different
approach is required. One way is to save all custom AutoText entries in a
template and then place it into a Global Word Startup template on the
server. Everyone will have access to the AutoTexts. Also note that virtually
any text or object can be saved as AutoText. It is a very useful tool as it
not only saves time entering repetitive texts or objects, but it helps
standardise across the network.

Hi KK

Your proposed find-and-replace method will work. But you could also try
creating an AutoCorrect. Tools > Autocorrect options. On the AutoCorrect
tab, in the Replace box, type LRDSS. In the With box type the full text you
need. Click OK.

Now, whenever you type LRDSS, Word will replace those letters automatically
with the full text.

This works the same way as Word corrects typing mistakes like "teh" and
replaces it with "the".
